Inserting images in word

“Pictures Are Worth A Thousand Words”. Great people have agreed to the fact that pictures speak a universal language. We all know that representing data in a pictorial manner makes it easy for the reader to get a grasp of it.

In Microsoft Word, we can insert a picture in our document in the following two manners:

  1. From the Clip Art Gallery
  2. From another file

Inserting pictures from the Clip Art Gallery

We can use the Clip Art Gallery to view a variety of pictures, photographs, sounds, and video clips. It is also possible for us to insert these objects in our document from the Clip Art Gallery. Microsoft Corporation provides Clip Art Gallery along with the Microsoft Office package of which MS-Word is a part.

In order to insert a picture from the Clip Art Gallery, we should follow the steps given below:

Position the cursor at the location where the picture from the Clip Art Gallery is to be inserted.

Thereafter, select Insert->Picture->Clip Art.

We can find that the various pictures have been grouped under certain broad topics. We can select any of the following topics and a screen will appear with multiple Clip Arts in that particular topic. Suppose if we have selected the topic Animals, the following screen will appear.

We can click on the any of the picture in the above figure that is considered appropriate

On doing so, a pictorial menu appears from where we can insert the picture on the document.

In order to insert the ClipArt we have to click on the Insert Clip option

Inserting picture from another file
Let us say, that we have drawn a picture using the Paint application provided by Windows. Now, we want to insert this picture in a Word document. However, in such a case, the Clip Art Gallery will be of not much help to us.

The steps that we are supposed to follow to insert a picture in these circumstances are enumerated below:

1. Place the cursor in the position where the picture is to be inserted

2. Then, select Insert->Picture->From File

3. Insert Picture dialogue box will be displayed

In the Look in box of the Insert Picture dialog window, specify the drive or the folder where the file containing the picture that is to be insert in the document is located.

On locating the required picture, either double-click on that file or click on the Insert button and the picture will be inserted in our document.

View and Page Setup in Word

Zoom Out or Zoom In 

This is another type of option to change the view of our document. We can Zoom-out the document to reduce the display size of the document and we can Zoom-in the document to increase the size of the document.
To Zoom-out or Zoom-in our document, do the followings :
Select View->Zoom
Zoom dialogue box appears

In the Zoom to area select one of the options and click Ok.

This will change the display of the document
Changing the page setup
(Changing Margins, Page Size and Page Orientation)

In MS-Word, we can change the margins, page size and page orientation. In order to do these adjustments

Select File->Page Setup

Margin

Click on the Margin tab (if Margin tab is not displayed)

 Type the Left, Right, Top, Bottom, Gutter, Header, Footer and Gutter Position as necessary and then click Ok

Paper Size

Click on the Paper Size tab (if Paper Size tab is not displayed)

 Do the customization and click OK.

Word - Find and Replace

Find is used to search an occurrence of a given word or format. Replace is used to replace a word or format with another word or format.

To have Word Find and Replace words, select the required word(s), click Find on the Edit menu and the find and Replace dialog turns up displaying Find, Replace and Go To options. When the selected text is provided and the OK button clicked control takes us to the first occurrence of the text.

To Replace click the Find option of the Edit menu. In the Find what text box, enter the text to search for. Click Find Next button to search for the next occurrence of the text. In the Replace with box, enter the text to be used as the replacement. To replace an occurrence of the text, click Replace. To replace all occurrences of the text, click Replace All.

 Some key combinations to move across the document

Up arrow key   one character up
Down arrow key one character down
Left arrow key one character left
Right arrow key one character right
Ctrl+ Right arrow key faster than the usual to the right
Ctrl+ Left arrow key Faster than the usual to the left
Home key beginning of a line
End key                       end of a line
Ctrl+ Home beginning of a document
Ctrl+ End end of the document

Protect word documents

In a Word document, we can set a password to that document so as to prevent unauthorized users from accessing that document. Passwords are especially important for sensitive documents in order to prevent them from being unintendly modified.

In order to protect a password you should do the followings :
1.   Select Tools->Options.

2.   In the Password to Open textbox type your desire password and click Ok.
A Confirm Password dialogue box appears

In the Reenter Password to Open textbox type the same password as you do the same password in the previous (options) dialogue box and then click Ok.

Once a document is protected by password, don’t forget. It may cost you even more!

Bookmark in MS Word

We can use a bookmark to identify a specific location in the document that can be used for future reference. A section of the Word document, a character, range of characters or a graphics can be used as a bookmark. In order to insert a bookmark in our document we must follow the steps given below :1. Place the cursor at the location where the bookmark is to be created.2. Then, choose the Bookmark option from the Insert menu. Pressing Ctrl+Shift+F5 also achieves this.

3. Specify a name for the bookmark in the Bookmark name field.

4. In order to add the bookmark to the bookmark list, we have to click on the Add button.

All that is left is to click on the Add button.

In other way to bookmark that we have created earlier, we should follow the steps given below:Select Edit -> Go to or press Ctrl+G. The Find and Replace dialogue box will be appeared :1.From the Go to what list box, we will select the Bookmark option.

2.Select the bookmark name from the Enter bookmark name drop-down list.3. Click on the Go To button.We can delete a bookmark by following the steps given below:

i) Select the Bookmark option from the Insert menu.

ii) Choose the name of the bookmark that we have created and then click on the Delete button.

iii) Thereafter, we have to click on the Close button.

Bookmark names cannot be longer that 40 characters and must begin with a letter. The subsequent characters can be numbers, letters, and characters. However, the name of a bookmark cannot contain spaces, punctuation marks or other characters.
